What we collect, and why

We collect different information depending on how you use the site.

Contact form (/contact/): we collect the name, email address, enquiry type and message you provide so we can reply to you and manage your enquiry. We use this information on the basis of our legitimate interests in responding to enquiries and, where your message relates to a possible booking or service, to take steps before entering into a contract.

Newsletter sign-up: we collect your email address if you ask to receive updates, Micro Resets, event news and practical resources. We use this information with your consent, and you can unsubscribe at any time.

Body Stress Check-In (/body-stress-check-in/): see the dedicated section below. We ask for your consent before you submit check-in information.

Bookings: if you book a call, class, programme or event through Calendly, Eventbrite, ThriveCart or another booking provider, that provider collects your booking details directly under its own privacy policy. We receive the information needed to manage your booking and deliver the relevant service. We do not see your full payment card details.

Analytics and performance: we use Vercel Web Analytics and Vercel Speed Insights to understand overall site traffic and loading performance. Both are cookie-free and only collect anonymised, aggregated data, such as page views, approximate location, device and browser type, and loading speed; visitors are identified by an anonymous hash generated from each request, not by a stored identifier or IP address, and this data cannot be used to identify you or reconstruct your browsing session. We do not run advertising tracking on this site.

  • We also process personal data where needed to meet legal obligations, keep appropriate business records, protect the website from misuse, and establish or defend legal rights.

The Body Stress Check-In

The Body Stress Check-In is delivered through a third-party tool, ScoreApp. It asks questions about how you are feeling physically, and the answers may be treated as health-related data.

It is an educational wellbeing tool. It is not a diagnostic tool and does not replace advice, assessment or treatment from a qualified healthcare professional.

If you complete the check-in, ScoreApp may host your responses and results and share them with us so we can provide your result and any follow-up you request.

Because some responses may relate to your health or wellbeing, we rely on your explicit consent for that information. You do not have to complete the check-in, and you can ask us to delete your responses at any time unless we need to keep limited information for legal reasons.

Processors and third parties

We only list processors we have verified are actually in use or planned:

  • Vercel: hosts this website (Next.js application) and provides Web Analytics and Speed Insights, both cookie-free.
  • TinaCMS: content management for this website.
  • ScoreApp: will deliver the Body Stress Check-In once live.
  • Odoo: our business system and CRM, used to manage enquiries, bookings, customer relationships and administration.
  • Calendly: call bookings.
  • Eventbrite: event ticketing.
  • ThriveCart: event and programme payments.
  • Healthy Mays and other named event partners: booking information for jointly hosted events where you book through the partner's website.
  • Adobe Fonts (Typekit): delivers the website's typeface.
  • Email delivery and workflow providers: used where needed to send requested updates or route contact form submissions to us.

Some providers may process personal data outside the UK. Where required, we use appropriate safeguards such as UK adequacy regulations, standard contractual clauses or equivalent transfer protections.

Retention

We keep personal data only for as long as needed for the purpose it was collected.

Contact enquiries are normally kept for up to 24 months after the last meaningful contact, unless the enquiry becomes part of an ongoing client, booking or legal record.

Newsletter details are kept until you unsubscribe or ask us to remove you.

Booking, payment and customer records are normally kept for up to six years where needed for accounting, tax, contract or legal purposes.

Body Stress Check-In responses are normally kept for up to 24 months unless you ask us to delete them sooner, or unless we need to keep limited records for legal reasons.

Your rights

Under UK data protection law you have the right to ask for access to, correction of, deletion of, or a copy of your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact info@carolynwade.com.

Security

We take reasonable technical and organisational steps to protect the personal data we hold, including secure website hosting, restricted access to business systems and use of reputable third-party providers.

No online service can be guaranteed completely secure. If we become aware of a data incident that creates a risk to your rights or freedoms, we will take appropriate steps and notify affected people or the ICO where required.

If you are unhappy with how we have handled your personal data, please contact us first at info@carolynwade.com. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page.
